In this tutorial, we will explain how to configure your management center in order to access the digital internship agreement features.
A management center is designed to configure the validation workflow for internship agreements as well as for targeted job offers. It is only visible to platform administrators in the dedicated tab and is linked exclusively to the Internship Agreements and Jobboard modules (it is not visible to users).
You can access it directly from your internship agreement management space:

Your management center consists of one global center and several sub-management centers.
Sub-centers retrieve information from the global management center. It is therefore important to configure the global center properly before setting up the sub-centers. The managers registered in your global management center will have authority over the entire management center.
For your management center to function properly, you must add managers (both academic and administrative) as well as training programs with their step codes (code étape) in order to link enrolled students.

Renaming Your Management Center
First, you can rename your management center. Simply click on the name of your management center to modify it.

Managing Managers
There are two categories of managers on the platform:
Academic Manager (Program Director / Faculty Member)
These are teachers. This allows students to select this manager when completing their internship agreement online so that they become the academic supervisor.
They will receive an email notification as soon as an agreement is assigned to them.
They validate the student’s agreement from an academic perspective, and only the designated teacher can perform this action.
In most cases, you should grant them the following permissions:
Read access
Academic validation
(Unless you want them to be able to edit an agreement. However, this would also allow them to validate it administratively. In that case, you must add “Edit” rights.)
Administrative Manager
These are usually administrative staff members.
Their role is to verify that the information entered in the agreement is accurate and compliant with regulations (mandatory compensation when applicable, etc.).
All administrative managers can validate agreements administratively. They are also responsible for launching the electronic signature procedure or sending the agreement by email.
Manager Permissions
Different permissions can be assigned to a user within a management center:
Internship Agreements
Allows users to read, edit, and/or validate agreements.
If you want a teacher to appear in the list of available academic supervisors when editing an agreement, you must grant them academic validation rights.
Exports
Allows users to create a database export containing information from your agreements.
⚠ Be mindful of GDPR regulations when extracting data.
Job Offers
Job offers can be targeted based on the step code of your training program, directly retrieved from the enrollment system.
It is therefore important to have users who regularly access the platform to validate targeting.
(However, it is recommended not to target job offers, as this allows companies to reach a wider and more diverse range of profiles.)
Contacts
The platform includes a built-in CRM. Checking this box grants access to it.
Administration
Grants administrative rights so the user can manage your management center.

Adding a Manager
To add a manager when your sub-center has just been created, simply click on “Add a sub-manager” directly under the name of the sub-center.

If your sub-center already has a teacher assigned, click on “Add a sub-manager” directly under the name of an existing manager.

When the search engine appears, type the first letters of the manager’s last name.
If you find multiple people with the same name, do not select the one labeled “promo” — that is a student.

Adding a Training Program
To properly structure your management center, you must first add all your training programs to the main management center using their step codes.
After that, you can distribute the programs among the sub-management centers you have created.
To add a training program and its associated students, click on “Add training programs”.
The degree search engine may take a few moments to load — please be patient (or refresh the page using F5 on PC or ⌘R on Mac).

Once it appears, search for your programs using the step code.

Select the desired programs and click “Add”.
During future logins, it is possible that the programs may not appear as shown in the first screenshot. Simply refresh the page using your browser’s refresh button to display them correctly, as shown in the second screenshot.
